Overview

CA Client Document Portal gives an accounting firm a private, branded space where each client uploads and downloads tax documents and audit files. Access is controlled by role, every file keeps its version history, and both sides are notified as documents move.

It replaces email attachments and shared drives with an auditable, permissioned workflow — so nothing is lost, the right people see the right files, and the firm looks organised and trustworthy.

The problem

Firms collect sensitive client documents over email and messaging, where files get lost, versions clash, and access is impossible to control. This portal centralises documents with role-based access, versioning, and an audit trail.

Who it's for

  • Accounting and audit firms exchanging documents with clients.
  • CA / CPA practices that need a secure, permissioned file workflow.
  • Clients who want one clear place to submit and retrieve their records.

Features

Client upload & download

Clients securely upload tax and audit documents and retrieve files the firm shares back with them.

Role-based access

Firm staff, partners, and clients each see only what their role permits, keeping records confidential.

Document versioning

Every re-upload keeps the previous version, so the history of a document is never lost.

Notifications

Both sides are notified when documents are requested, uploaded, or shared, so nothing stalls.

Organised by client & period

Documents are grouped by client and financial period for fast, structured retrieval.

User stories

  • As a client, I want to upload my tax documents securely so that my accountant can access them.
  • As a partner, I want role-based access so that staff only see the clients they handle.
  • As a firm, I want version history so that we always know which document is current.
  • As a client, I want a notification when a file is requested so that I respond promptly.

User flow

  1. 1

    Firm requests documents

Staff request specific documents from a client, who is notified.

  2. 2

    Client uploads

The client uploads files into their private, organised space.

  3. 3

    Firm reviews

Staff review, version, and share files back, all within permissions.

  4. 4

    Audit trail

Every action is logged for a complete, auditable record.

Architecture

A Next.js front end with Supabase for auth and metadata and S3-compatible object storage for the files themselves. Role-based rules enforce who can see and act on each document.

Files are stored privately with time-limited access links, and every upload creates a new version rather than overwriting, preserving history.

Actions are recorded to an audit log so the firm can demonstrate a clear chain of custody for client records.

FAQ

Is client data kept confidential?

Yes. Files are stored privately with role-based access and time-limited links, so only permitted users can open them.

Can we see previous versions of a file?

Yes. Every re-upload is kept as a new version, so the full history is available.

Is there an audit trail?

Yes. Every request, upload, and share is logged for a complete record.

Can clients be limited to their own documents?

Yes. Clients only ever see their own space; staff visibility is controlled by role.
